How WhatsApp Business API works

What is the WhatsApp Business API?
Meta’s WhatsApp Business Platform (Cloud API) lets businesses send and receive WhatsApp messages through software — not a single consumer phone.
WhatsApp Business App
The free mobile/desktop app for a single phone number. Good for small teams, but limited for shared inbox, CRM, and large-scale automation.
WhatsApp Business Platform (Cloud API)
Meta’s programmatic interface for businesses. You send and receive messages through software — shared inbox, campaigns, chatbots, and integrations — using the official Cloud API.
WhatsApp Business Account (WABA)
Your Meta business portfolio holds one or more WABAs. Each WABA can have business phone numbers used to message customers on WhatsApp.

How WhatsApp messaging works
Meta defines when you can send free-form messages versus approved templates — and when delivery is billable.
Customer service window (24 hours)
When a customer messages your business, a 24-hour customer service window opens. Inside that window you can send free-form (non-template) replies such as text and media.
Template messages
Outside an open customer service window, businesses must use Meta-approved message templates to initiate or re-engage conversations. Templates are categorised as Marketing, Utility, or Authentication.
What Meta charges for
Effective 1 July 2025, Meta charges on a per-message basis when a template message is delivered. Non-template messages inside an open customer service window are free. Utility templates sent inside an open window are also free.
Free entry point window
In certain cases (for example Click-to-WhatsApp ads), Meta documents a free entry point window where messages — including some templates — may be free for a limited period. Always confirm current rules in Meta’s pricing docs.
How to create a WhatsApp Business API account

Create or sign in to Meta Business
Set up a Meta Business portfolio (Business Manager) with accurate business details. Admin access is required to create or manage WhatsApp accounts.

Create a WhatsApp Business Account (WABA)
Create a WABA from Meta Business Suite (Settings → Accounts → WhatsApp accounts) or via a Meta app with WhatsApp product access, as described in Meta’s WABA documentation.

Add a business phone number
Register a dedicated phone number that can receive an OTP. Display name and profile should match your brand. This number becomes your WhatsApp Business API sender ID.

WhatsApp Business API message pricing
Effective 1 July 2025, Meta bills on a per-message basis for delivered template messages. Rates depend on template category and the recipient’s country calling code.

Meta WhatsApp messaging fee
Separately, Meta charges for WhatsApp Business Platform usage when eligible template messages are delivered to customers, based on Meta’s rate card for the recipient’s country. These Meta fees are not included in the Nexagrowthhub subscription.
